Finding your way around
The catalogue, the sidebar groups, search, categories, the Show filter and the version badge.
Everything in Advanced Reports starts from the catalogue, the list of reports you are allowed to open. This page walks through the screen from left to right.
The sidebar
The sidebar has up to three groups.
- Reports lists All Reports, one entry for each category with a count of its reports, and Uncategorized when any report has no category. All Reports is always there, even before the first report exists.
- Dashboards lists All dashboards, one entry for each dashboard category, and Uncategorized.
- Manage appears for authors and admins. It holds Portlets for authors, and Configuration and Import / Export for admins.
The What's new item is at the foot of the sidebar for everyone. Below it, Back to NetSuite returns you to your NetSuite home dashboard.
Click the Reports or Dashboards heading to fold that group away, and click again to open it. A folded group shows how many entries it holds. The sidebar remembers which groups you folded, so a long list of categories does not push Dashboards off the screen.
The catalogue
All Reports shows every report you can open. Click a category in the sidebar to narrow the list to that category.
The Cards and Table control in the top bar switches between two views, and the app remembers your choice.
- Cards show the name, category, status and row count, and how often the report was opened in the last 90 days. A card shows the first two lines of the description, and the rest on hover.
- Table shows one row for each report, with the whole description under the name. Use it to read what each report is for. Click a column heading to sort by name, category, last run, opens, rows or status. Click again to reverse the order, and a third time to return to the list's own order.
Each report also says how much it is used: Opened 12 times, last 3 days ago, Not opened in 90 days or Never opened. Opening a report page counts, and so does a NetSuite dashboard portlet over the report.
Click a report's name to open it.
Search
The search box in the top bar works from any page. Typing takes you to the full list, narrowed to reports whose name, description or category matches. The search applies to whichever set the Show filter is showing.
The Show filter
Beside Cards and Table, the Show control switches the list between three sets, each with a count:
- All: every active report.
- Not opened in 90 days: reports that nobody opened in that time. Use it to find reports you can retire.
- Archived: reports that were put away. Each has Restore.
The choice is part of the page address, so clicking a category keeps it. The Dashboards page has the same control with All and Archived. Archiving is covered in Archive, restore and housekeeping.
The top bar
Depending on the page and your rights, the top bar holds:
- the page title and, on a report, its age and Refresh;
- the search box;
- Help, which opens the in-app guide;
- New Report for authors, which becomes New Dashboard on the dashboards pages;
- Numbers, on a report or dashboard, which switches figures between full and compact.
Selecting several reports
Authors see Select in the catalogue header. It turns on selection mode. Click or Ctrl+click to toggle a report, Shift+click to select a range, or use the header checkbox to select every report you may edit. The bar above the list then offers Refresh Selected, Set Audience, Archive and Delete. The app greys out reports you cannot edit.
Each card and table row also shows the report's audience, such as Public or a count of roles and employees. Authors can click it to change the audience without opening the report.
An empty catalogue
With no reports yet, an author sees a short explanation, a Create the first report button and a link to the guide. A viewer sees that nothing has been shared with them yet and whom to ask.
Version badge and What's new
The What's new item shows the running version, for example v1.8.4. The badge stays highlighted until you open What's new on that version. The page lists the five most recent releases with the running version expanded, so you can see what changed without leaving NetSuite.
